Position: Welcome Week Coordinator (Part-Time, Fixed-Term Contract)

Employer: Graduate Students’ Association (GSA) at Carleton University

Location: Carleton University Campus, Ottawa, Ontario

Compensation: $500 per week (Approximately 20 hours per week). The successful candidate must be available to work days, evenings, and weekends as required during the contract term.

Reports to: Vice President Operations, Vice President External, and Executive Director.

Contract Term: August 24, 2026 to September 25, 2026

Position Summary

The Welcome Week Coordinator will work closely with the Executive Team to support the planning and delivery of Welcome Week activities for graduate students. This fixed-term position plays an important role in creating a welcoming and engaging orientation experience for new graduate students and supporting the Graduate Students’ Association’s Welcome Week programming.

Qualifications and Experience

  • Must be registered as a graduate student at Carleton University during the contract period. 

  • Excellent interpersonal and communication skills. 

  • Strong organizational and time-management skills. 

  • Comfortable working independently and collaboratively in a team environment. 

  • Comfortable working with diverse student populations. 

  • Event planning or event coordination experience is considered an asset. 

Key Responsibilities

  • Support the planning and delivery of Welcome Week activities and events. 

  • Assist the Executive Team with the logistical planning and coordination of Welcome Week programming for graduate students. 

  • Provide on-site event support, including event setup, registration, tabling, and teardown for Welcome Week activities. 

  • Respond to Welcome Week participant inquiries and provide administrative support related to Welcome Week activities. 

  • Maintain regular communication with the Executive Team regarding Welcome Week planning and event logistics. 

  • Comply with organizational policies, procedures, and applicable health and safety requirements. 

  • Prepare and submit a final report summarizing activities completed, observations, and recommendations following Welcome Week. 

  • Perform other duties directly related to the planning and delivery of Welcome Week activities as reasonably assigned.

Working Conditions and Accessibility

  • Work schedules will vary depending on operational needs and may include daytime, evening, and weekend shifts. 

  • This position requires prolonged standing, walking, lifting event materials, and assisting with event setup and teardown. 

  • This position is performed primarily on-site at Carleton University.
